    Let’s Talk About Time. People have ask me in the past how I manage to get so much done. It’s simply a method. I built a surgical time management system years ago that's essentially a hybrid of three "proven frameworks"; it's customized to match me. When I follow it, the output speaks for itself. People assume I’m a machine. Lately, I’ve been loose with it. Not off-track, but not dialed in like I should be. That’s changing now. Especially since I will be starting a Masters of Engineering in the spring. I call it "The Method to my Madness" The Eisenhower → Mind Map → Time Block Method: Achieve High Quality Volume Output, Stay Sharp, and Get More Done If you want high-quality output at a high volume, you need more than motivation. You need discipline and a bonafide system. This one works; it's not for staying busy. It's for execution and precision: 1. Start with the Eisenhower Matrix Often viewed as a productivity hack, it's more of a filter that separates movement from progress. Urgent & Important → Do it now. Important but Not Urgent → Schedule it. Urgent but Not Important → Delegate it. Neither → Delete it. Delete a lot. As much as possible. Majority of people stay stuck in reaction mode because they never clarify what actually deserves their time in a prioritized manner. 2. Turn Priorities those into a Mind Map. Brainstorm. Think about requirements and deliverables. Once you know what matters, you build your mind map. This is how you visualize your goals, responsibilities, and projects, as well as identify connections between different pieces and outcomes. Architect a snapshot of your entire battlefield.. This map is your battle strategy. Every node should be a calculated move. Every connection is a dependency. Now, you’re never guessing because you have a clear vision and path. 3. Convert the Map into EXCEL Time Blocks Here it get's surgical. Start with hour blocks but get used to honoring a schedule. Tighten it to 30-minute blocks once you’re zoned in. Eventually move to 15-minute or even 5-minute blocks when you need total control. Use 45-minute blocks to leave time for review, margin, or re-alignment Don't go cramming your calendar. You need to be constructing clarity. Every minute needs to have has a purpose, resulting in every block equaling an output. Why It Works? Well, I lived it, for 4 years. But it works because: You stop reacting and start executing. You make fewer, better decisions. You get more done in less time. You create time instead of losing it to friction. If you want to achieve a lot, don’t leave your output to chance. You need to engineer a laser focused lens, structure your days, and block YOUR time like it’s a currency. If your work matters, your time should too. Start with the matrix. Build the map. Block the time. And watch your execution go from good to elite. Always take time to REFLECT. Everyday, reflect.

This practice not only keeps me centered amidst the whirlwind of daily tasks but also ensures that every action is a step toward our most critical goals. Sharing these priorities with my direct reports does more than foster transparency — it aligns our efforts, synchronizes our strides, and forms the bedrock of our collective pursuit. It's a simple yet profoundly effective strategy that has continually steered us toward meaningful progress and impactful results. Next, time blocking has been a critical strategy. Carving out dedicated blocks for deep work, meetings, and even unexpected tasks allows me to create a rhythm amidst the chaos. This isn't just about sticking to a schedule; it's about allocating mental space and ensuring that high-priority projects get the uninterrupted attention they deserve. I always check each Friday that my time blocked schedule appropriately reflects the work I need to accomplish for my top three priorities. Lastly, I leverage automation and delegation. By automating routine tasks and delegating effectively, I maintain focus on what truly requires my expertise. It's not just about offloading work; it's about empowering my team by entrusting them with responsibilities that aid their growth while freeing me to lead more effectively. A framework I really like using is the Eisenhower matrix around categorizing work based on its urgency and importance. I try and focus as much of my work as I can on the important and urgent tasks. Implementing these strategies hasn’t just boosted my personal productivity; it sets a precedent for the whole team. When leaders manage their time effectively, it cascades down, fostering a culture of efficiency and clarity. Research shows it can take up to 23 minutes to climb back into deep focus after even a quick “got a sec?” ping. Multiply that by every Slack, email, and calendar pop-up and you’ll see why the day disappears. Here’s how I cut that tax to almost zero ⬇️ 1. Normalize asynchronous communication Urgency is rarely real. I tell my team: reply when you’re out of deep work, not the second a bubble lights up. It kills the always-on anxiety for everyone. 2. Park tasks outside your head Parking lot > To-dos. If a thought might boomerang while you’re in flow, capture it. Notebook, voice memo, Notion.....anything beats letting it rent space in your brain or causing you to jump from your current focus. 3. Batch, block and box Task batching: answer all email in one swoop Replying to LinkedIn comments at one time Time blocking: label calendar chunks “deep work,” “meetings,” “admin” Time boxing: Give each task a finish line before you start Structure beats willpower every time. 4. Remove the obvious distractions One tab. One window. One screen. Close what you know will drag you into a different head-space before it even tries. I literally ONLY have 1 tab open at a time.     These 3 work blocks have changed my life! 👇 As an agency owner, it's easy to feel overwhelmed by the sheer volume of tasks that demand attention every day. From managing sales, operations, and administrative duties to developing strategies and creating content, the to-do list often seems endless. This constant juggling act can quickly lead to burnout if not managed effectively. I used to struggle with this until I discovered the power of time blocking—a technique that has significantly transformed the way I work. 💫 By dividing my day into specific blocks of time, I’ve been able to focus more effectively, reduce stress, and increase productivity. [1] Strategic Blocks: These are the most critical parts of my schedule. I allocate 3-4 hours for strategic blocks, usually at the beginning of the week. During these blocks, I focus on high-level strategy work, such as long-term planning, business development, and innovation. Research shows that working in focused time blocks can increase productivity by up to 80% because it minimizes distractions and allows for deep work (Cal Newport, Deep Work). [2] Buffer Blocks: Buffer blocks are shorter, typically around 1 hour per task, and are reserved for day-to-day operations and lower-level tasks. This includes responding to emails, attending meetings, and managing team communications. By grouping these tasks into dedicated time slots, I avoid the constant context switching that can reduce productivity by up to 40% (American Psychological Association). 3.     What do you do when you have lots of tasks to complete and are restricted by time? I time block. I thought everyone did until I was recently on a call with several people who were totally new to the concept. As a business owner who serves multiple clients, a mother, a trustee of First Class Foundation UK a vice chair for Ethical Equity and all the other hats I wear, I couldn’t function without time blocking. I follow this exact process to ensure that I am able to remain productive, complete tasks, manage my time effectively and reduce the chances of me becoming overwhelmed. 1. **List all of the the tasks I have to complete in the time period** 2. **Break the tasks down into a checklist in Trello. Typically a big task will require a number of sub tasks in order to complete. These form the checklist** 3. **I estimate how long it would take me to complete a task, based on how long it normally would take me. I then allocate a block of time to work on this task. I normally over estimate to be safe. If I think it will take 30 minutes, I will allocate 50 minutes.** 4. **I set start and end times for my entire day, including the documented tasks but also including breaks.** 5. **Once a time slot is complete, I move on to the next.** If you often find yourself overwhelmed with all of your tasks, give the above a try and see how it goes.     📆 Time blocking has saved my sanity and increased my productivity as a full-time contractor. Before I started using this technique, I found myself bouncing from task to task with no real focus. I'd end the day asking myself, "Did I actually accomplish anything today?" My version of this practice is simple... I dedicate specific blocks of time to literally everything—even breaks. Here’s how / why this technique works for me: - Task Prioritization: Each morning (or the night before), I identify my "big 3" tasks (most important) for the day and assign them dedicated time slots for those projects. I usually allot extra time to tasks to ensure I'm not rushing through them. - Intentional Breaks: I schedule breaks throughout the day to step away from my computer, grab lunch, workout or go for a walk. I used to speed through the day without getting up from my desk, so this has been huge for me (the brain rot has reduced lol). - End-of-Day Boundaries: I’ve been working to get better at setting clear boundaries for when my workday ends. As a contractor, this can flex, but if I know I've gotten my "big 3" of the day completed, I can happily unplug at a decent time. What productivity hacks do you live by?
