𝐎𝐩𝐭𝐢𝐦𝐢𝐳𝐢𝐧𝐠 𝐒𝐮𝐩𝐩𝐥𝐢𝐞𝐫 𝐂𝐨𝐧𝐭𝐫𝐚𝐜𝐭𝐬 𝐟𝐫𝐨𝐦 𝐃𝐚𝐲 𝐎𝐧𝐞 Because successful events begin long before the first guest arrives. “Challenge our supplier contracts.” That’s one of the first shifts I introduced when I began supporting a client as their professional conference organizer for two major global events each year. Every year, negotiating hotel contracts and other supplier contracts gets harder. ✅Costs are rising. ✅Suppliers are upselling. ✅Budgets remain tight. So how do we stay on track? By getting it right from the start. From the moment bids come in, I challenge them—not just against our stated requirements, but also against the hidden costs that can derail a budget: • Meeting room fees • AV and technical setup • Catering terms and dinner arrangements • Small but significant add-ons And just as important, the fine print: • Payment conditions • Cancellation and attrition clauses • No-show guarantees • Liability coverage A solid contract is your first safeguard. A clearly tracked budget is your second. Throughout the planning and execution phases, I oversee the contracts and the budget to ensure that decisions are well-informed and that there are no surprises. This approach ensures that events are financially sound yet still deliver excellence. 𝐀𝐬 𝐨𝐧𝐞 𝐜𝐥𝐢𝐞𝐧𝐭 𝐭𝐨𝐥𝐝 𝐦𝐞: “𝐖𝐢𝐭𝐡 𝐲𝐨𝐮 𝐚𝐬 𝐨𝐮𝐫 𝐩𝐚𝐫𝐭𝐧𝐞𝐫, 𝐈’𝐦 𝐜𝐨𝐧𝐟𝐢𝐝𝐞𝐧𝐭 𝐰𝐞 𝐰𝐨𝐧’𝐭 𝐟𝐚𝐢𝐥.” Are you struggling with supplier contracts as well? If yes, book your consultation here: https://lnkd.in/ecbBzNq4

Planning a corporate event with 20+ attendees? Here are 3 things most companies overlook when booking venues: 1. Hidden costs in contracts - Resort fees, AV equipment, Wi-Fi charges can add 20-30% to your budget - Always ask for the "all-in" price breakdown 2. Cancellation policies - Post-2020, these have gotten stricter - Negotiate sliding scale penalties vs. flat fees 3. Room block attrition - You're often liable for 80-90% of unsold rooms - Build in realistic pickup rates based on your audience. Having someone who knows what to negotiate can save thousands. What's been your biggest surprise cost at a corporate event? #EventPlanning #CorporateEvents #MeetingPlanner

You can have the perfect venue, agenda, and catering, but if your guest transportation fails, that’s what they’ll remember. After managing transportation for 1,000+ global events, here’s what we’ve learned: 1️⃣ Contingency planning saves reputation. 2️⃣ On-site coordination prevents chaos. 3️⃣ Clear signage = calm guests. 4️⃣ Vehicle variety = flexibility. 5️⃣ Real-time communication = confidence. The Checklist That Builds Confidence Every event has a to-do list. But not every list builds confidence. My go-to checks before go-time: ✅ Everyone has the run sheet? ✅ All suppliers confirmed & reconfirmed? ✅ Contingency plans double-checked? ✅ Venue walkthrough done? ✅ One point of contact on the day? A confident planner is a calm planner. If your list doesn’t calm you down — it needs refining. #WooHooEvents #ConfidenceInPlanning #ProfessionalEvents #BehindTheScenes

Event organizers: Here's how to attract high-value vendors to your events. Most hosts wait for vendors to apply. Smart hosts go directly to the businesses their attendees need. Your action plan: 1. Identify local service businesses (tax pros, insurance agents, real estate) 2. Send host proposals through RevoVend 3. They purchase tables directly through the platform 4. Your event becomes more valuable to attendees The result? Fuller tables, happier attendees, and vendors who actually add value to your event experience. Stop playing the waiting game. Start curating your vendor lineup strategically.
